The Problem

Too Much Admin, Three Inboxes, One Person

Hartje Oirschot is a one-room bed & breakfast in Oirschot, in the south of the Netherlands. Its owner, Ria, runs the whole thing herself — at 80 years old, and, by her own admission, with little affinity for computers or AI. The hospitality she has never struggled with. The administration behind it was another story.

Guests arrived through three different platforms — Airbnb, Booking.com and BedandBreakfast.nl — each with its own inbox, payout format and calendar. On top of that came invoicing, VAT (BTW), expenses, and the quarterly paperwork her accountant needed. “I was spending far too much time on my admin and bookkeeping,” Ria says. “Honestly, I couldn't keep up.”

It was the kind of work that doesn't scale with effort: copying booking details between systems, typing invoices with the right tax split, saving and sorting receipts, and reconciling the bank statement line by line. For one person, most of it was pure overhead — time that couldn't go to guests.

The Approach

One Simple Dashboard, AI Underneath

Nomulock AI started from how Ria actually works, not from a feature list. The goal was a single dashboard simple enough for a non-technical owner to open every day, with all the heavy lifting hidden underneath. The guiding rule: she should only ever have to save a document in the right place — the system does the rest.

Under that calm surface is a full back office built on Next.js and Supabase and deployed on Vercel. Booking emails and receipts are read by Claude (Haiku 4.5) using vision and tool-use, de-duplicated by stable keys so nothing is ever processed twice, and refreshed on a roughly 30-minute cycle. Calendars sync both ways over iCal, invoices follow a rules engine, and the bank statement is parsed and matched automatically.

Crucially, about 20% stays in human hands on purpose. Ria confirms what gets sent, classifies the rare ambiguous expense, and reviews only the bank items that didn't match on their own. The automation removes the drudgery without taking away her control — and the interface stays calm enough to use at 80.

Three Platforms, One Calendar

Before

Ria took bookings on Airbnb, Booking.com and BedandBreakfast.nl. Each had its own inbox, its own format, and its own calendar. Keeping them aligned — and avoiding double-bookings — meant copying details by hand and blocking dates in three separate places.

What We Built

  • Airbnb and BedandBreakfast.nl booking emails parsed automatically with Claude vision, de-duplicated by stable keys, and saved to one database
  • Booking.com ingested from its CSV export and payout PDFs, with each payout attached to the right invoice
  • Two-way iCal sync pushes every booking and personal block to all three platforms, so a date can never be sold twice

Outcome

Every booking from all three platforms now lands in one calendar automatically. Double-bookings are structurally impossible.

Invoicing & BTW

Invoices and Quarterly Tax That Prepare Themselves

Before

Direct and BedandBreakfast.nl stays had to be invoiced by hand, with the correct VAT typed in each time. Every quarter, Ria assembled the figures for her accountant manually — slow and easy to get wrong.

  • A rules engine auto-generates invoices for direct and BedandBreakfast.nl bookings (Airbnb and Booking.com invoice the guest themselves)
  • VAT split automatically on every line — 21% on the room, 9% on breakfast
  • A one-click quarterly BTW export combines bookings and expenses into a clean overview and sends it to the accountant

Outcome

Invoices write themselves and the quarterly tax report is a single tap. Her accountant is happy too.

Expenses & Documents

Receipts That File Themselves

Before

Receipts and supplier invoices arrived by email or on paper. Each one had to be saved, named, read, categorized and filed by hand before anything could be reconciled.

What We Built

  • Receipts forwarded by email or dropped into a Google Drive folder are read automatically with Claude vision
  • Supplier, date, amount and VAT rate are extracted, then the file is categorized and filed into the correct Drive folder
  • Each expense is linked to its bank payment automatically when the amounts line up

Outcome

Ria's only job is to save a document in the right place. The system reads, files and books the rest.

Bank Reconciliation

A Bank Statement That Matches Itself

Before

Reconciling meant downloading the bank PDF, reading every line, and matching each payment to a booking, payout or receipt by hand — then hunting down whatever didn't add up.

What We Built

  • ASN/SNS bank statement PDFs are parsed into individual transactions automatically
  • Each transaction is auto-matched to an invoice, platform payout or expense (within €0.50 and a few days)
  • Only the handful of unmatched items are surfaced for a quick human check

Outcome

The statement reconciles itself. Ria reviews only the exceptions, not every line.

The Real Outcome

Admin That Mostly Runs Itself

Taken together, the pieces change what running Hartje Oirschot feels like. Bookings from three platforms arrive in one calendar. Invoices generate themselves with the right VAT. Receipts file themselves. The bank statement reconciles itself. What used to be hours of scattered admin is now a few minutes of review.
